University Classroom and Facility Scheduling

The University of Pennsylvania has numerous auditoriums, classrooms, performing arts facilities, multipurpose spaces, and green areas available for use by Penn student groups, academic departments, University staff organizations, and non-University groups.

The process for reserving a University classroom or facility depends on the type of event you are organizing. When not in use for scheduled classes, Central Pool classrooms and auditoriums can be requested for academic-related events by faculty and staff through the Scheduling Portal, managed by the Office of the University Registrar. Information on Central Pool classrooms can be found on the Provost website.

Other events, such as student-sponsored events, one-time special events, conferences, receptions, and events sponsored by non-University groups, are booked through University Life, Space and Events.Other events such as student sponsored events, one-time special events (not course-related), conferences, receptions, luncheons, etc., and events sponsored by non-University groups are reserved through University Life, Space and Events. 

Begin your academic event reservation request through the Scheduling Portal if your event is one of the following:

  • A review session
  • A reservation for a Midterm Exam
  • A university lecturer presenting to the Penn Community
  • Other course related events

Begin the Special Events process through University Life, Space and Events if your event falls into the following categories:

  • A luncheon or other event with food service
  • A high profile speaker or guest at your event
  • Your event is hosting people from outside the Penn community
  • You are part of a student group looking to reserve space for group events

This is not an exhaustive list of event types, if you have questions please contact the Office of the University Registrar at ourscheduling@registrar.upenn.edu. The Office of the University Registrar reserves the right to evaluate proper fit for event booking on a case by case basis.
